Administrative Coordinator

Swift is looking for a detail-oriented, self-starting Administrative Coordinator to support the day-to-day operational and project support needs of a small, growing consulting firm. This is a flexible, as-needed hourly role, ideal for someone who thrives on variety, wants to contribute to meaningful work in the clean energy space, and brings a can-do attitude to shifting priorities, without a full-time commitment. 

You’ll work directly with Swift’s Founder and the broader team across a range of tasks, from helping put together polished client proposals to supporting job candidate screening, and everything in between. No two weeks look exactly alike, and that’s part of the appeal. 

 

This position is open to remote candidates; with preference for staff based in Oregon, Wisconsin, or Arizona.

Key Responsibilities

Research Projects: Coordination 

  • Schedule and coordinate research interviews with contractors, distributors, and other study participants across multiple concurrent projects. 
  • Manage participant communications from initial outreach through confirmation and follow-up, using multi-channel approaches (email, phone, text) as appropriate. 
  • Maintain detailed recruitment tracking logs to monitor progress across participant segments and flag gaps early. 
  • Take structured notes during interviews, kickoff meetings, and client check-ins; prepare and distribute meeting summaries. 
  • Support preparation of meeting agendas and slide decks for recurring client check-ins. 

Research Projects: Incentive & Participant Administration 

  • Coordinate gift card or incentive fulfillment for research study participants; support documentation for tax reporting purposes. 
  • Maintain organized records of participant contacts, consent status, and scheduling history. 

Recruiting & HR Support 

  • Help assemble, format, and proofread client proposals, qualifications packages, and presentations. 
  • Track RFP deadlines and support document organization and submission logistics. 

Proposals & Business Development Support 

  • Craft and edit research summaries, reports, and client-facing knowledge resources.
Qualifications

Required

  • 2+ years of experience in an administrative, operations, or coordination role. 
  • Strong written communication skills and a sharp eye for detail. 
  • Highly organized; comfortable managing multiple tasks with shifting priorities in a self-directed way. 
  • Comfort with scheduling and coordinating across multiple stakeholder types and time zones. 
  • Proficient with common administrative tools (Microsoft Office products). 

Preferred

  • Experience supporting a small business, consultant, or professional services firm. 
  • Familiarity with proposal and RFP processes. 
  • Prior exposure to HR or recruiting support functions.

Researcher / Senior Researcher

The Researcher / Senior Researcher at Swift plays an important role in executing and supporting research and development, strategy, and evaluation efforts for the clean energy transition. This position is ideal for a curious, collaborative professional who thrives on gathering and making sense of information, coordinating moving pieces, and helping innovative teams and projects stay on track. This role offers a strong foundation for growth into a future of broader research leadership, advising, and project responsibility over time. 

The Senior Researcher / Consultant will support Swift’s primary consulting workstreams including R&D, pilots, program design and evaluation. Our work helps utilities, agencies, and organizations in navigating a rapidly evolving energy landscape. We help these partners design, test, and evaluate strategies that enable them to lead on electrification, grid flexibility + decarbonization, and customer-centric solutions – all with the understanding that real innovation occurs at the intersection of people and technology.

Key Responsibilities

Research & Analysis

  • Conduct qualitative and quantitative applied research tasks on a variety of clean energy topics including electrification, efficiency, consumer behavior, demand flexibility, and more.
  • Design, administer, and analyze surveys and interviews in support of research project goals.
  • Synthesize data and information into research findings in clear, structured summaries for project teams and clients.
  • Contribute to a collaborative team environment while growing expertise across Swift’s core research methods and subject areas; support the Research Manager and project leads in developing and executing research plans,
  • Actively develop deeper research skills across qualitative and quantitative methods for primary and secondary research, creating opportunity to take on increasing responsibility and growing Swift’s impact.

Project Coordination

  • Provide organizational and logistical support on project teams, including with Swift’s partners, keeping work moving forward across multiple concurrent projects.
  • Track tasks, timelines, and deliverables to help keep projects on schedule and budget.

Outreach & Participant Coordination

  • Support outreach and recruitment efforts for surveys, interviews, and focus groups; coordinate with project leads to align recruitment strategies with research objectives.
  • Manage research participant relationships, scheduling, and communications to ensure strong response rates.

Communication

  • Craft and edit research summaries, reports, and client-facing materials.
  • Maintain organized records of data sources, research materials, and analysis outputs.
  • Contribute to internal documentation, templates, and knowledge resources.
Qualifications

Required

  • 2–5 years of experience in research, consulting, evaluation, program coordination, or a related field.
  • Demonstrated experience designing or administering surveys and/or conducting interviews.
  • Strong organizational skills and attention to detail, with the ability to manage multiple workstreams simultaneously.
  • Excellent written communication skills; comfortable producing polished, structured documents.
  • Comfortable working both independently and collaboratively in a small, growing firm.

Preferred

  • Familiarity with residential building or energy systems, market actors such as contractors and builders, and/or utility programs is a plus, as well as an area of growth for this role.
  • Basic coding or data skills (e.g., SPSS, Qualtrics, Python, or R) to support data processing and analysis.
  • Experience supporting outreach efforts for research studies, pilots, or other customer engagement programs.
  • Prior experience with utilities, public agencies, or mission-driven organizations.
